Administrative Assistant

QUALIFICATIONS (KNOWLEDGE/SKILLS) Must type 50 or more words per minute. Must have excellent telephone skills. Must have a minimum of two years’ experience with Microsoft applications. Must have high school diploma or GED. Experience in the area of Chemical Dependency Treatment and its functions a plus.

Monitor departmental consumer case load database in NextGen and track consumer engagement.

Assist with coordinating case conferences, individual sessions and management meetings for 

Outpatient Supervisor and Team Lead.

Assist with drafting correspondence letters to Job and Family Services, Children Services, Parole

Officers, etc. reporting status of consumer treatment.

Assist with consumer transfers in NextGen and conflict of interest reported by counselors per Outpatient Team Lead and Outpatient Supervisor.

Create and manage monthly Outpatient Group calendar, monitor group/counselor ratio and track
consumer group attendance in excel database.

Submit monthly urinalysis statistical report to Management for review.

Cover phones at front desk, or any other clerical function as needed.

Perform other duties as assigned by Outpatient Supervisor

Serve as point of contact for departmental operations and consumer inquires.

Prepare monthly report of consumer treatment levels and Medicaid distribution to management
for board review.

Provide support in outcome measure reports for comparison of services and improvement of outcomes.

Serve on Quality Assurance and Quality Improvement consumer chart review team for audit preparation with non-clinical documentation.

Assist in Outpatient new hire orientation process, review resumes of potential candidates and assist with scheduling of interviews.

Assign consumers to counselor’s case load and obtain consumer signature on group schedule.

Coordinate and prepare materials for outpatient staff meeting and document meeting minutes.

Monitor department equipment, supplies and troubleshoot staff inquires.

Assist with preparation of clinical trainings on Power Point.

Check in consumers when they arrive for individual sessions.
